Babywearing Butterfly is the operating name of Kimberley Galaway Porter, Sole Trader, qualified and insured babywearing consultant. 

Registered Data Controller with the Information Commissioner’s Office (ICO) – The UK independent authority set up to uphold information rights in the public interest.

I am committed to safeguarding your privacy and data. I only collect, store, and use your personal information for specific purposes as outlined in the privacy policy below, in compliance with General Data Protection Regulation. I use your personal information to support and develop my connection with you. I will never share your personal data with third parties unless required to by law, or when the third-party provider is used in the running of my business (e.g., Google Forms, PayPal etc.) and only then will I use your information to the extent necessary to allow them to perform the services they provide.

You may contact me if you have a question about the privacy of your data or to see the personal data you have given to me and request that it is modified. Personal data refers to any information relating to an identifiable person, this can include but is not limited to name, email address, home address, phone number. I have described the procedures I use for safeguarding your personal data below. Please read this privacy policy carefully.

What data is collected?

When you book a consultation the following data is collected:

  • Full Name
  • Email Address
  • Residential Address, if applicable
  • Virtual
  • contact details, if applicable
  • Contact telephone number
  • Child/ren’s age/s
  • Child/ren’s weight
  • Child/ren’s clothing size
  • Whether or not there are medical conditions for any participants in the consultation to consider

Please note sensitive medical data is not stored. Although the information is relevant at the time of consultation it is not relevant to providing an ongoing service and may or may not be relevant to prior or future consultations.

Therefore there is no legitimate reason to keep your data in this regard.

Why is data collected?

I require and store the data listed above so that I can:

  • Provide you with booking information
  • Contact you in the event of cancellation
  • Contact you in regards to your sling hire (if applicable) 
  • Find the location for consultation and determine reasonable travel costs
  • Ensure I am selecting the right slings and information for the age, stage and needs of all consultation participants both child/ren and adult/s

When you contact me through my website, email, telephone number or social media (including but not limited to Facebook, Instagram, Twitter, Whatsapp, Facebook Messenger etc.) I store the following data:

  • Your name
  • And/or email address
  • And/or phone number

I require this information so that I may answer your enquiry and provide you with the relevant and necessary response.

Third Party providers I use to support my business such as, but not limited to, Paypal, Zettle, Google Forms etc. have their own privacy policies. I recommend you familiarise yourself with these policies, so that you can understand the way in which your information is stored by these organisations. Babywearing Butterfly takes no responsibility for the privacy terms of third party providers. However if you are uncomfortable using a third party provider; I will make every effort to support your choice to avoid using said provider, where possible. 

Other websites, Communications & Social Media Platforms

My website and social media platforms may contain links to other websites and other resources on the Worldwide Web. This privacy policy only applies to Babywearing Butterfly websites and pages, so when you link to other websites, please refer to their privacy policies. When using Social Media channels or choosing to get in touch using text messaging technologies, please refer to their privacy policies, this includes but is not limited to Facebook, Instagram, Gmail, Whatsapp, Imessage, SMS and Facebook Messenger.

How is your data Stored & Protected?

Babywearing Butterfly will not share your data with any third parties without your explicit, written consent, unless required to do so by law, in the event of any security breach or data compromise you will be notified immediately, upon the realisation of the breach.

Your data is stored on the following Technology platforms and thus it is subject to the privacy policies of each:

  • Google Drive, Google Forms –
    • Name
    • Postal Address
    • Email Address
    • Phone Number
    • Photographs of you and your baby/child
    • Your responses to questions regard consent to use the aforementioned photographs on our websites and social media platforms
    • Your baby’s/child’s age at the time of consultation

Your data is protected by two factor authenticated password protection

  • Apple ICloud – Online back-up of the above details, protected by two-step verification password protection
  • WD MyCloud NAS – Local back up of the above details 1, 2, password protected 

Please note all passwords are managed via Apple Keychain and/or 1Password – No passwords are written down on paper, all passwords are unique and generated using these password management tools in order to further protect your data privacy.

How do I gain your consent to store your data:

When contacting me through my website and social media platforms I will assume you have read and agreed to the terms, conditions and privacy policies of those platforms and their associated technologies.

When booking consultations you provide the data and I confirm you have read, understood and agreed to my terms, conditions and privacy policy via Google form. Should you be uncomfortable using Google forms I will contact you by telephone to ascertain the method by which you are happy to provide your written consent.

Consent to use photographs taken of participants in consultations and workshops is obtained on my website and social media is obtained on a case by case basis.

How do you withdraw your consent and right to access your data?

You have the right to access and withdraw your data at any point, if I have no contractual reason to keep your data, for example, an arranged consultation or workshop. Your Google Form responses can be deleted upon request.

Disclosure
I will only disclose your personal information if required to do so by law or if you violate my Terms and Conditions, and only then to the relevant authorities.

Retention

Your data will only be stored for as long as it is required to maintain services agreed to with you. Please note my financial records are required to be kept for a period of 5 years after the 31st January submission date deadline of the relevant tax year in accordance with HMRC.

Payments
I take payments via cash, bank transfer or Zettle
In the case of Zettle card payments, I DO NOT store your card details. Zettle will encrypt your payment details and keep them secure as per their security policies and data policies.

Your rights

You have a number of rights with regard to your personal data. You have the right to request access to; correction; or removal of your personal data. If you would like a copy of some or all of your personal information, please email me at the address below. I want to make sure that your personal information is accurate and up to date. You may ask me to correct or remove information you think is inaccurate.
